PenSoft KDB Document: Pre-Notification NACHA File

PenSoft Program Support Knowledge Database Document

Financial institutes processing Direct deposit files can require that a test file is processed prior to sending the first live direct deposit.  This ensures that all of the bank account numbers are valid.

To create a Pre-Note Direct Deposit:

Payroll must first be processed

  • Click Checks.
  • Click Direct Deposit.
  • Select an Originator.
  • Select either the current company or multiple companies to be included in the direct deposit file.
  • In the Date Range section: this should be the check date (The system defaults to 7 day pay period ending with the most recent payroll, Form 1099, Tax deposit, or Deduction payment).
  • In the Include section: check Payroll Data (note if other items are checked and there no Direct Deposits for that type of item it will not produce one).
  • In the Options section: check to ‘Set the transaction code for all items to “Pre-Notification’.
  • In the File Identification section: this is the default setting unless told by your financial institution you should not have to make any changes to these settings.
  • In the Export File section: verify this is the location that you desire the file to be created.  If it is, click Create File. If it is not, click the browse button and browse to the desired location.

Note: Now that the file has been created, verify the information on the file by either clicking Journal or View File.  Once reviewed the file uploaded to the bank for processing per the bank instructions.
